Vendor Lists

Every vendor gets its own list the moment you add it, auto-named after the vendor (Acme — API leads). Leads that vendor sends land in it automatically. It exists so you can answer one question — what has this vendor actually sent us? — and it’s the only list on this hub you never build yourself.

Go to Admin → Contacts → Vendor Lists. There’s no New list button here; if the tab is empty it says so: No vendor lists yet — they’re created automatically when you add a vendor.

Reading the tab

The columns match the Lists tab, with one swap: where Lists shows Type, this shows Vendor — the vendor that owns the list. Members is how many of that vendor’s leads are in the list now.

Click a row to see them: Name, Phone, State and Tags, newest first.

Dialable here only means “not suppressed”

Dialable, Undialed and Not dialable are calculated the same way as on Lists, but no campaign ever draws from a vendor list — so Dialable counts everyone who isn’t on Do Not Call and nothing more. Campaigns stays at 0 for the life of the list. Neither number says anything about calls being placed.

How it fills

Leads posted to that vendor’s Post API land here as they arrive, along with the contact record created for each in GoHighLevel. Three things are turned away at the door and never reach the list: a number already on Do Not Call, a lead you’ve seen before — a duplicate isn’t added a second time — and a number this dialer isn’t allowed to call, which is anything outside US and toll-free numbers.

Live calls fill it too, which is why the tab calls it the roster of every lead a vendor posted or called in with. A caller arriving on an inbound vendor’s own number who isn’t already a contact in GoHighLevel gets one created — stamped and tagged with the vendor’s Codename, exactly as a posted lead is — and lands here with them. A caller you already hold a contact for is left alone and doesn’t join the list.

Nothing you do on this screen adds or removes a member. The list is a record; the vendor writes it.

Why you can’t dial it

A vendor list cannot be attached to a campaign. It’s deliberately kept out of a campaign’s Lists feeding this campaign picker, so there’s nothing to tick, and the server refuses the assignment even if something else tries it.

Dialing a roster would let call outcomes edit it. A Remove from list or Add to DNC (+ GHL DND) outcome takes the lead out of the list it was dialed from, and this list is the record of what the vendor sent you — so it’s kept out of reach of dispositions on purpose.

To dial a vendor’s leads, use a linked list instead. A new lead a vendor sends arrives in GoHighLevel stamped with that vendor’s Codename (from Vendors → General) as both the contact’s source and a tag, so a GoHighLevel smart list built on that, attached with Link smartlist, gives you a dialable list that keeps itself current while the roster stays untouched. What you can’t do to it

No delete. Vendor lists have no bin icon, and nothing else removes one either. Vendors are archived, never deleted — there’s no delete anywhere in Admin → Vendors — and archiving keeps the list, which is the point of archiving rather than deleting, so the history stays readable. Duplicating a vendor gives the copy its own new, empty list rather than sharing this one. Plan on these lists being permanent. See Vendors.

Reset is the one button on the row, and on a vendor list it has nothing to act on. It clears the redial cooldown for numbers a campaign is dialing; no campaign dials these, so it reports that no leads were in cooldown, every time. Use Reset on the Lists tab, where it does something.
